A valid passport and business visa are required for travel to India.

Houston: Please note before submitting your visa application to {B:CompanyName} that the city to be visited in India and the expected entry and departure dates must be consistent and match on each of the following documents: visa application form, invitation letter, certificate of incorporation, and business cover letter. The Consulate of India will not process any visa application that does not follow these guidelines.

San Francisco: Any signed letters or documents you submit must be orignal. The consulate will not accept copies.

Passport Requirements:

Original passport and one photocopy of passport information and signature page.
The passport must be signed, valid for 6 months beyond stay in India, with at least two blank passport pages available for India visa stamps. Amendment pages in the back of the passport are not suitable for Indian visas.

India Visa Application Form:

The Consulate of India requires a visa application form that is completed online. To access the form follow this link: https://indianvisaonline.gov.in/visa/. Click on the orange button labeled "Regular Visa Application" in the upper-left corner to begin the process. Your application must:

  • Display your name exactly as it appears in your passport
  • Include answers for all fields
  • Type of visa and length of validity requested must match listing on all other documentation
  • Be signed on the first page under the photo, and, on the second page. In order to be accepted, all signatures must:
    • Match the signature in your passport
    • Be in the middle of the box. They cannot touch the edges of the box or run out of the box
  • Include your email address on the online application. Applications missing a personal email address will be rejected by the consulate
  • Be printed on single-sided sheets of paper. Double-sided applications will be rejected. You must fully print the bar code on the bottom of page 1
  • Your passport will be shipped back to the address indicated on your application under "Present Address."

Photo Requirements:

One recent 2 x 2 passport type photograph, in color, front view and with a plain/white background. Glasses should not be worn in these photos; photos should not be stapled to the application.

Certificate of Incorporation:

Houston: Copy of Certification of Incorporation from the inviting company in India. (CIN number must match CIN number listed on the invitation letter if applicable). The certificate of Incorporation must be from the same state that the invitation letter is coming from.

Letter Of Invitation:

A letter of invitation on company letterhead from the sponsoring company in India. This letter must be signed by an appropriate person in the inviting company, such as HR, Executive, or inviting business contact.

The invitation letter must explain the relationship to the applicant and the purpose of travel. Information on this letter must correspond exactly with the information provided on the visa application form and supporting documents, and must be signed and sealed on company letterhead by the host in India.

San Francisco:

A copy of the Invitation Letter is acceptable.

Washington D.C.:

You must obtain a letter of invitation. The organization you will be visiting is responsible for providing the invitation. A copy is acceptable. This letter must:

  • Be written on company letterhead
  • Include the full local address and phone number of the organization or person to be visited
  • Request the same validity of visa as in the Business Introduction Letter
  • Match the exact format as the sample invitation letter provided in this kit
  • Preferably display a stamp from the company or the government agency
  • Include a statement of the sponsor's full responsibility for the traveler, if the responsibility was not mentioned in the business cover letter
  • Be signed

Houston:

Letter of Invitation may be a copy. However, the Consulate may request the original at their discretion.

Additionally, the invitation letter from India must state that the applicant will not receive any form of payments from any sources in India and will remain an employee of the U.S.-based company. Applicants are advised to use the following template:

"(Applicant's Name) will not receive any form of remuneration from any sources in India and will remain an employee of (the U.S. company's name) in the U.S. (Applicant's Name) will not engage in any activities in India other than the stated purpose of visit."

Business Cover Letter:

Letter from the employer or sponsoring company in the United States, on company letterhead. This letter must be signed by an appropriate person in the applicant's company, such as HR, Executive, or direct supervisor of the traveler.

The business letter must introduce the applicant, indicate the applicant's employment status/position held in the company, and clearly state the purpose of visit to India. Detailed contact information for the organizations to be visited must be included. The business letter must also state the validity of visa applied for (1 Year, 5 Year or 10 Year) and indicate who will be financially responsible for the applicant. For 5 year or 10 year requests, the letter must explain the need for future trips planned; visa validity will be granted at the discretion of the consulate. Information on this letter must correspond exactly with the information provided on the visa application form and all supporting documents.

The Consulate of India requires an official business letter to support your application. Proof of State Residency:

A clear photocopy of the applicant's driver's license or state issued ID is the best proof of address. The address on the ID must match the present address on the visa application exactly. Alternatively, the most recent major utility bill (Water, Gas, Electric, Sewage), or a copy of a valid/current lease containing both the landlord and tenant signature, may also be accepted.

Houston: If submitting a driver’s license or ID, it should have a minimum 6 months of validity remaining.

Houston: If you are a U.S. citizen who was born overseas, you must provide a Consular Report of Birth Abroad certificate.

For Applicants of Indian Origin: There are additional procedures and visa requirements for applicants of Indian origin, including applicants born in the US to parents of Indian origin. Please carefully review the requirements for applicants of Indian origin and include all necessary documents and fees with the visa application.

For applicants of Pakistani origin: Travisa cannot submit an Indian visa application for Pakistani citizens and applicants of Pakistani origin. These applicants are required to submit visa applications in person.

Applicants Under the Age of 18:

Houston:

Original, notarized Parental Authorization For Minors

Copy of the minor's birth certificate.

Copy of both parents' signed passports.

Minors Signing the Application Form: A minor child should sign their name inside the signature box under the photo on first page of the application. If the child is too young to sign their name, the child's thumbprint must be stamped inside the signature box under the photo on first page of the application. On the second page of the application, the minor child should not sign the application. On the second page of the application, both of the child's parents must sign the application, and both parents' signatures should be notarized. Applications without both parents' notarized signatures will not be accepted.

The visa application must be signed by both parents and notarized. A copy of a parent's driver's license or utility bill can be used for proof of residential address in the US.

Minors of Indian Origin: a minor must submit a copy of the parent's cancelled Indian Passport and a copy of the parent’s Renunciation Certificate. If they have a copy of the cancelled India Passport they may complete a Renunciation certificate and submit it. If they do not have either document, they will need to complete and submit the required documentation for a Deemed Surrender Certificate.
